Separation

Employment of an individual may be terminated by resignation, discharge, retirement, or a need to reduce the work force. Discharge can be for any reason not prohibited by law. Employees are free to resign at any time, and Madison House reserves the right to terminate employment for any lawful reason.

Consistent with an employee’s professional obligations to Madison House, employees are encouraged to give as much notice as possible prior to the effective date of their voluntary resignation from employment. This will allow for an orderly and responsible transition.

FINAL PAYCHECKS

Payment of all wages (including accrued PTO, if applicable, etc.) will be made to a separated employee on or before the next scheduled pay day after separation. The employee is requested:

  • To pay all monies owed and clear any outstanding debts to Madison House, and

  • To return keys, equipment, computers, and other items owned, purchased by, or paid for by Madison House prior to the employee’s termination date.

sEVERANCE PAY

Generally, Madison House does not pay severance to departing employees, whether they quit, are laid off, or are fired for any reason. However, we reserve the right to pay severance. Decisions about severance pay will be made on a case-by-case basis and are entirely within the discretion of Madison House. No employee has a right to severance pay, and you should not expect to receive it.

EXIT INTERVIEWS

We will hold an exit interview with every employee who leaves Madison House, for any reason. During the interview, you will have the opportunity to tell us about your employment experience here – what you liked, what you didn’t like and where you think we can improve. We greatly value these comments.

The exit interview also gives us a chance to handle some practical matters relating to the end of your employment. You will be expected to return all Madison House property at the interview. You will also have an opportunity to ask any questions you might have about insurance, benefits, final paychecks, references, or any other matter relating to your employment.

REFERENCES

It is the aim of Madison House to support and assist current and former employees interns, volunteers and independent contractors in their efforts to secure new positions. References may also be required for other matters, such as mortgage application, etc. References should only be given by the person who directly supervised the individual requesting the reference.

guidelines for Giving references

When giving a reference, it is important that the following guidelines be followed:

  • Provide references only to persons with a legitimate reason to need one.

  • If the reference is for a job position, ask the person requesting the reference to describe the position responsibilities and skills required in the position. Keep your comments relevant to these skills.

  • Provide only factual, honest, documented and job-related information.

  • Share only information that you know through your own work-related experiences.

  • Document the name of the person you are speaking with, the organization they represent, telephone number, e-mail address and reason they have requested the reference as well as information that you provide during the conversation.

  • Clearly state your relationship to the employee, intern or volunteer.

  • Indicate how current/relevant the information you have is.

  • Remember there really is no such thing as an “off-the-record” or “confidential” conversation with someone seeking an employee reference. Don’t say anything in such conversations you would not otherwise say were the conversation “on-the-record.”

  • If employee was terminated or left for cause, reference will be handled by Executive Director.
